My Rugby Academy – General Booking Terms & Conditions

1. Booking & Eligibility
1.1. Bookings for My Rugby Academy holiday camps, weekly sessions, monthly sessions and any other coaching events must be completed using the official My Rugby Academy booking system or registration form.
1.2. By making a booking, the parent or legal guardian confirms that they have the authority to book on behalf of the participant, that all information provided is accurate, and that they agree to these Terms & Conditions.
1.3. Session locations, dates, times, age groups, prices and participant limits will be detailed at the time of booking.
1.4. Places are allocated on a first-come, first-served basis and are only confirmed once payment has been received where applicable.
2. Minimum Numbers Requirement
2.1. All sessions are subject to a minimum number of participants. If the minimum number is not reached, My Rugby Academy reserves the right to cancel or rearrange the session.
2.2. Where a session is cancelled due to insufficient participant numbers, My Rugby Academy will notify you as soon as reasonably possible and offer either:
a transfer to an alternative session (subject to availability); or
a full refund.
3. Pricing & Payment
3.1. Prices for holiday camps, weekly sessions, monthly sessions and other coaching events will be advertised at the time of booking.
3.2. Payment deadlines will be communicated during the booking process. Failure to make payment by the specified deadline may result in the booking being cancelled and the place being offered to another participant.
3.3. Payments must be made using the payment method specified in the booking confirmation.
3.4. Late bookings may be accepted subject to availability and will require immediate payment to secure the booking.
4. Cancellation & Refund Policy
4.1. Holiday camp cancellations made at least 14 days before the first booked session are eligible for a full refund.
4.2. Holiday camp cancellations made within 14 days of the first booked session are non-refundable unless otherwise agreed in writing by My Rugby Academy.
4.3. Weekly and monthly session bookings are non-refundable once payment has been received unless otherwise agreed in writing by My Rugby Academy.
4.4. Refunds will not be issued where a participant is unable to attend due to illness, injury, holidays, school commitments, other sporting activities, transport issues or any other personal circumstances.
5. Transfers
5.1. Requests to transfer to another available session should be made as early as possible and are subject to availability.
5.2. Where the alternative session has a higher fee, the additional balance must be paid before the transfer is confirmed.
6. Session Cancellation by My Rugby Academy
6.1. My Rugby Academy reserves the right to cancel, postpone or rearrange sessions due to insufficient participant numbers, coach illness, severe weather, health and safety concerns or other unforeseen circumstances.
6.2. Where a session is cancelled due to insufficient participant numbers or for reasons solely within My Rugby Academy’s control, participants will be offered either:
a transfer to another suitable session; or
a full refund.
6.3. My Rugby Academy shall not be liable for any cancellation, postponement or interruption of sessions caused by circumstances beyond its reasonable control, including but not limited to adverse weather, flooding, snow, ice, extreme temperatures, lightning, high winds, venue closure, facility management decisions, power failure, equipment failure, public health restrictions or any other event that makes it unsafe or impractical to deliver the session. In such circumstances, refunds will not be due, although My Rugby Academy may, at its sole discretion, offer an alternative session, venue or account credit.
7. Participant Conduct & Liability
7.1. All participants are expected to behave respectfully, follow the instructions of My Rugby Academy coaches and staff at all times, and comply with all safety guidance.
7.2. My Rugby Academy reserves the right to remove any participant whose behaviour is considered unsafe, disruptive, abusive or inappropriate. In such circumstances, no refund will be given.
7.3. My Rugby Academy accepts no responsibility for injury, loss or damage arising from a participant’s failure to follow coaching instructions, inappropriate behaviour or misuse of equipment.
7.4. Parents or guardians remain responsible for participants before the session begins and immediately after the session ends.
7.5. My Rugby Academy accepts no responsibility for the loss, theft or damage of personal belongings brought to any session.
8. Medical Information & Emergencies
8.1. Parents or guardians must provide accurate and up-to-date medical information, emergency contact details and details of any medical conditions, allergies or additional support needs at the time of booking.
8.2. Parents or guardians are responsible for informing My Rugby Academy of any changes to this information before the participant attends a session.
8.3. In the event of an accident or medical emergency, My Rugby Academy will take all reasonable steps to contact the parent or guardian and, where necessary, obtain appropriate medical treatment for the participant.
9. Privacy & Photography
9.1. Personal information collected during the booking process will only be used to administer bookings, communicate relevant information and operate My Rugby Academy in accordance with applicable data protection legislation.
9.2. Photographs and videos may be taken during sessions for coaching, promotional and marketing purposes, including use on the My Rugby Academy website, printed materials and social media channels.
9.3. By making a booking, you consent to the use of your child’s image unless you notify My Rugby Academy in writing before the session.
10. Changes to Sessions
10.1. My Rugby Academy reserves the right to amend session dates, times, venues, coaches or session content where reasonably necessary.
10.2. Every reasonable effort will be made to notify participants of any significant changes as soon as practicable.
11. Governing Law
11.1. These Terms & Conditions are governed by the laws of England and Wales.
11.2. Any dispute arising from these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales. Booking Terms & Conditions.
