Our Booking Terms & Conditions.

1. Booking & Eligibility
1.1. Bookings must be completed via the My Rugby Academy online form for October Half-Term Holiday Camps at The Herts & Essex Sports Centre (Bishop’s Stortford), running from Monday 27 to Friday 31 October 2025. Sessions are available as half-day (morning or afternoon) or full-day options. Camps cater to children aged 8–14 and are capped at 15 participants per session to ensure focused coaching.

2. Minimum Numbers Requirement
2.1. All sessions are subject to a minimum number of bookings. If the minimum is not met, the session may be cancelled. In such cases, My Rugby Academy will notify you as soon as possible and offer either a full refund or the opportunity to transfer your booking to an alternative session.

3. Pricing & Payment
3.1. Session prices are as follows:

  • Half-day: £40 per session

  • Full-day: £70 per session.

3.2. The full amount for each booked session must be paid no later than two weeks before the start of the camp week. Since the camp week starts Monday 27 October 2025, full payment is due by Monday 13 October 2025.

3.3. Payments must be made via BACS transfer to the account details provided in your booking confirmation email.

3.4. Bookings made after 13 October 2025 may be accepted subject to availability, but immediate payment via BACS transfer will be required to secure the place.

4. Cancellation & Refund Policy
4.1. If you cancel your booking at least 14 days before the camp start date (i.e., by Monday 13 October 2025), you are entitled to a full refund.

4.2. Cancellations made less than 14 days before the start (after 13 October) are non-refundable, unless:

  • The session is cancelled due to insufficient numbers (see clause 2.1), or

  • There are other exceptional circumstances agreed in writing by My Rugby Academy.

5. Transfer of Booking
5.1. Should you need to transfer your child to another available session, please notify us at least 7 days before the camp begins (i.e., by Monday 20 October). Transfers are subject to availability.

5.2. If transferring to a session of higher cost, the balance is due at the time of transfer.

6. Session Cancellation by My Rugby Academy
6.1. If My Rugby Academy must cancel a booked session—such as due to insufficient numbers—you will be promptly informed and offered either a full refund or a transfer to another session.

7. Liability & Conduct
7.1. Participants must follow all instructions and safety guidance from coaching staff. My Rugby Academy accepts no liability for injuries resulting from disregarded instructions or misconduct.

7.2. Parents/guardians remain responsible for participants outside official session hours.

8. Privacy & Image Rights
8.1. Personal data collected during booking will be used only for communication and camp administration, in line with our Privacy Policy.

8.2. During sessions, photos or videos may be taken for promotional use. By booking, you consent to your child’s image being used in such materials.

9. Governing Law & Disputes
9.1. These Terms & Conditions are governed by the laws of England & Wales. Any dispute shall be addressed in the appropriate courts of England.
